Intermittent Print Job Stalling on Complex Documents

Description

Affected users across multiple departments reported that documents sent to a shared multifunction printer via the print server remained stuck in the queue, failing to print reliably. Print jobs stalled at zero percent progress for extended periods, and submitted jobs either hung indefinitely or experienced significant delays. The printer queue on the print server remained available, and multiple users confirmed the same behavior from different workstations mapped to the same shared printer.

On the print server, queued jobs displayed a "Driver unavailable" status, while affected users saw the printer appearing offline from their workstations. Standard queue and driver diagnostics did not reveal a consistent driver failure on the server side, and the spooler behavior was only partially reproducible during troubleshooting.

A simple test page submitted from one workstation processed successfully, indicating that the queue itself was functional. However, larger or more complex jobs — including a multi-page PDF — failed repeatedly on retries. This pattern pointed to an intermittent rendering or printer-side processing issue that could not be fully isolated through standard diagnostics alone.

  • Some users reported only an "offline" printer status on their workstations rather than the "Driver unavailable" message seen on the server side.

Diagnostics

Steps used to confirm this root cause:

  1. Checked shared print queues on PS-PRINT01 for paused, stuck, or failing jobs and reviewed queue state across affected printers.
    Expected: Print queue is online and accepts new jobs.
  2. Compared the installed HP Universal driver on PS-PRINT01 with the approved package and reviewed spooler driver load behavior.
    Expected: Endpoint uses the current approved printer driver.
  3. Reviewed Print Spooler service status, restarted the spooler, and tested whether a print job would clear through the queue.
    Expected: Spooler processes a test job without retry or access errors.

Resolution

Representative resolutions from prior cases:

  1. Capture failing sample job characteristics, including document type, size, application source, and exact time submitted through PS-PRINT01. Specifically collect the stalled jobs from (Q2_Finance_Report.xlsx, submitted 15:18 UTC) and (48-page PDF submitted 15:22 UTC from ) as representative failure samples.
  2. Collect PrintService and Spooler event logs from PS-PRINT01 during a reproduced large-job failure and compare with a successful small-job submission.
