Shared Print Queues Left Paused After Maintenance Window¶
Description¶
Multiple users at an office location reported that printing to shared queues hosted on a print server stopped working following recent maintenance changes. Submitted print jobs remained indefinitely in a spooling state and could not complete, affecting normal office printing workflows. The issue impacted more than one department-specific queue on the same server, with users in multiple departments confirming identical behavior.
Because the queues appeared superficially unhealthy rather than explicitly paused, initial troubleshooting explored other possibilities such as driver or spooler problems before the paused state was confirmed.
Reported variations
- Some affected users encountered a "Driver unavailable" message on the shared queues, which initially suggested a driver-related fault but was ultimately a secondary symptom of the paused queue state.
- Restarting the print spooler service provided brief, temporary relief before the issue recurred.

Root cause¶
During a maintenance window, an administrative action performed under a service account left the shared print queues in a paused state on the print server. The paused state blocked all queued jobs from advancing through the pipeline, though the queues did not display an obvious paused indicator, which delayed identification of the condition.
Diagnostics¶
Steps used to confirm this root cause:
- Checked the shared PDQ-Print01 queues to verify whether jobs were paused, stuck, or continuously spooling.
Expected: Print queue is online and accepts new jobs. - Compared the installed printer driver package and queue mappings against the approved driver version for the affected printers.
Expected: Endpoint uses the current approved printer driver. - Reviewed Print Spooler service behavior and tested whether restarting the service would allow jobs to clear normally.
Expected: Spooler processes a test job without retry or access errors.
Resolution¶
Representative resolutions from prior cases:
- Resume the paused shared printer queues \PS-PRINT01\HP-Sales-3F and \PS-PRINT01\HP-HR-2F on PS-PRINT01 using Set-Printer -Name
-ComputerName PS-PRINT01 -PrinterStatus Normal, and clear any stale jobs that remained from the paused period (5 orphaned jobs were purged via Remove-PrintJob). - Review queue settings and recent administrative activity on PS-PRINT01 to determine why the queue entered or remained in a paused state — audit logs confirmed the pause was triggered by svc-printadmin during a scheduled maintenance window at 19:45 UTC but the resume step was missed.
